7 Ways To Use HR Chatbots For The Hiring Processes

May 16, 2022  •  4 minute read

Chatbots are everywhere these days and you might have probably come across a chatbot while ordering a pizza, checking weather conditions when buying groceries, or even HR-related queries say if a person works in the company that uses chatbot automation.

When I say HR, what is the actual role of chatbots in Human Resources?

Scheduling meetings, employee onboarding, leave management, recruitment, and so on. Yes, Chatbots can play a major role even in talent acquisition. Sounds great right!

Now let’s take a deep dive into the recruitment process and understand how chatbots can support HR.

First things first, what is Recruitment Chatbot?

As we already know, chatbots come from a long line of codes. They have no emotions. But we can program it in such a way to act, based on the type of personas we want. Chatbots do have personas based on the brand and the purpose they serve.

For example, here in recruitment chatbot, they are being programmed to judge the candidates without any bias. Basically, they can do the administrative role, reducing the time of HRs by handling repetitive tasks much faster than humans. With the help of chatbots, the HR person can work strategically and solve the HR-related issues.

The Gist of how does it work

1. Hiring Process Flow using Conversational AI Chatbots

a. Capturing Information

As in the below, you can see the conversation between conversational AI chatbot and job seeker. Chatbot collects your name, email id, and provides options to choose from the currently open jobs with the company.

2. HR Chatbots Capturing information of job seekers

a. Matching

HR chatbots match jobs with job seekers qualification and capabilities and serve job openings

3. Screening

Most of the online screening can be done by the Applicant Tracking System (ATS). This is very useful in handling higher volumes of resumes.

Screening can be done based on

1. Setting minimum qualifications

2. Preferred qualifications

3. Highlighting resume as in setting some keywords based on the skills

4. Scheduling interviews

The chatbots can help scheduling interviews with the job applicants and hiring managers and managing skype calls for them based on their time preferences. Basically, the bot displays a drop-down calendar for the applicant to choose the date and from the available slots. Once the user confirms the date and time, the chatbot sends a notification to the mail ID as an invitation.

5. Interviewing

Have you ever come across a video interviewing chatbot or heard the term before?

Yes, it is an AI-based chatbot, works on data analytics. It will help monitor what you’re saying, and how you are saying it, your tone of voice, eye contact, and your emotions.

Once the candidate sends videos, the chatbot reviews them based on the above criteria, and generate a Sentiment score. Picture the Set goals option that has been used in Grammarly. By using a similar approach, the bot will generate a score and rank the candidates accordingly so that the decision can be taken easily on who will be the better fit for the company.

6. Updating Status

You as a candidate apply for a job, and you never hear back. Does this sound somewhat familiar?

Here comes the recruitment chatbot to rescue you from this situation! The chatbot will provide you an application code, and whenever you need to check the status of your application, you can use that ID, and the bot will show the application status.

You can also share your feedback on the interview process and get feedback from the interviewer as well. This is another added advantage to the chatbots.

7. Answering Queries

Chatbots provides job seeker regarding his job application status

Chatbots can also help in answering the questions asked by the candidates. It can be about the job description, company policies, the benefits company offer, or even about the work culture. The bot will be able to answer anywhere and at any time zone much faster than humans.

How chatbots basically do all these things?

The main thing needed here is a vast database of resumes and this is possible because of Natural language processing (NLP). This is used to understand the candidate’s intent by pulling up the keywords and the training needs to be done further for the chatbots to get smarter.

Major Impact on Hiring Process

Nowadays, large corporate companies use recruitment chatbots to save time and eliminate bias.

With a large number of applications, how about a company go ahead and choose the best candidates?

Some companies prefer students from top universities just to save time and possibly filter out potential talent. The student may not have these competencies, just because they went to the top universities.

There may be a better candidate who is a great fit for the company but didn’t study at a top university. Now imagine, again chatbots come and rescue them from this situation. By now, you might have agreed that chatbots for sure save time by handling a huge repetitive task.

By saving time, companies can hire candidates who are a great fit regardless of their educational background.

So companies that use AI chatbots can hire the best talents in less time than their competitors who are doing all these processes manually. Need I say more?
